Introduction

The National Rocketry League, LLC, is the entity responsible for administering the Base 11 Space Challenge.  We value your privacy and strive to collect, use, and share it only when it is necessary to do so.  We are located in California, United States, and the Base 11 Space Challenge is conducted and administered entirely in the United States.

This Privacy Notice describes the our policies and practices regarding its collection and use of your personal data, and sets forth your privacy rights with respect to your entry and participation in the Competition. We recognize that information privacy is an ongoing responsibility, and so we will from time to time update this Privacy Notice as we undertake new personal data practices or adopt new privacy policies.

Children Under the Age of 13.

Our Competition is not intended for children under 13 years of age. No one under age 13 may provide any personal information to us without having first provided parental consent. We do not knowingly collect personal information from children under 13. If you are under 13, do not use or provide any information to us, make use of any of the interactive or public comment features of this Competition Website (located on the HeroX Platform) or provide any information about yourself to us, including your name, address, telephone number, email address, or any screen name or user name you may use. If we learn we have collected or received personal information from a child under 13 without verification of parental consent, we will delete that information. If you believe we might have any information from or about a child under 13, please contact us.

How We Collect and Use Your Personal Information.

We collect personal information about you in several ways.  Most of the information collected is the information you choose to provide us by: 1) entering into the competition; 2) filling out forms; 3) participating in events sponsored by us; and 4) including it in you competition submissions.  With a few exceptions, this information is limited to the type of information that is commonly shared on a business card or mailing envelope: full name, university, address, email address, and phone number.  However, on some occasions the information is more personal: date of birth, graduation year, hometown, age, college major, and information about your interests, inspirations and personal challenges.  We collect this information to learn more about your passion for STEM education and the Base 11 Rocket Challenge, and to provide you with meaningful information of interest to you.  We do not sell personal information to anyone and only share it with third parties who are facilitating or assisting us with administering the Base 11 Space Challenge (Competition), promoting or covering the Competition, or as described, below.

Unless otherwise stated, we do not knowingly collect or store sensitive personal data, including social security numbers, credit card information, drivers’ license information, transcripts or educational records, medical information, psychometric or psychological information, or financial information.  To the extent that such information is requested by us, it is not stored and is used only to verify eligibility, prevent fraud, ensure safety, or is necessary to administer some portion of the Competition.  We do not know or make any representations about the collection or use of sensitive personal information by third-parties.

Personal Information You Give To Us.

  1. Registering For the Contest.

When you register for the Base 11 Space Challenge, you are asked to provide a Team Roster, a personal biography form, a media release form, a parental consent form, and a university authorization form, and risk management compliance.  These forms ask for personal information including your name, e-mail address, the school you attend, your anticipated graduation year, your major, your hometown and state, and your age.  Additionally, we ask that you provide a brief narrative about yourself related to one of the topic questions we pose.  We use this information to: 1) verify that you are eligible to enter the Competition; 2) contact you regarding the Competition and related opportunities (including educational opportunities, internship opportunities, and other STEM-related opportunities); 3) ensure that you are accounted for at events and maintain participation in the Competition; and 4) to help understand and better tailor our Competition to maximize your enjoyment in it.  Most of this information is required for us to administer the Competition and prevent fraud or other bad acts.  Your personal information (including name, image, voice, and biographic information) will be maintained on a public facing website and other publicly available materials to show that you and your Competition Team are entrants in the Base 11 Space Challenge.  If you have any objection about our use of your image, voice, or other biometric information, please contact us to discuss your concerns.

  1. Submitting Materials and Videos.

As an entrant in the Competition, we ask that you prepare and submit various documents and videos to us.  For example, throughout the Competition, Competition Teams are asked to create video diaries that update us on the progress of your work and share other information about your involvement in the Competition.  The video diaries will obviously contain your image (including your face), your voice, and possibly other biometric information about you.  We ask that you sign a Media Release that consents to our use of this information. We use this information to update us on the status of your work in the Competition, to promote the Competition, and to help promote STEM education.  We may also use this information to provide safety and other types of feedback to you throughout the Competition.  We may also use this information to promote the Competition and other activities we are associated with.  If you have any objection about our use of your image, voice, or other biometric information, please contact us to discuss your concerns.

Throughout the Competition you will also be required to submit written materials.  The information contained in these Submissions may include personal information.  We use the personal information contained in these materials to: 1) administer the Competition; 2) the ensure the eligibility of the Competition and enforce the rules; 3) to evaluate your performance in the Competition; 4) to help ensure the safety of the entrants and other persons attending the Competition; 5) and to update us on the status of your work, communicate to you about your work, and provide feedback.

  1. Attending Competition Events, Training, Safety Meetings, etc.

When you attend Competition events, including webinars and other electronic events, we will use your personal information to verify your attendance, ensure compliance with the rules, and otherwise ensure the safety and integrity of the event.  You may be asked to provide personal information at these events, for example, to sign-in at an event or register for a webinar.  We keep a record of your participation in these events and use this information to administer the Competition.

At some of these events, you will be interacting with third-parties, including other entrants, faculty members, corporate employees, members of the press, etc.  You should understand that the personal information you share with those persons is not able to be protected by us.

  1. Your Correspondence With Us.

If you correspond with us by email, the postal service, or other form of communication, we may retain such correspondence and the information contained in it and use it to respond to your inquiry; to notify you of Competition event, publications, or other information; or to keep a record of your communication, accommodation request, and the like. If you wish to have the us “erase” your personal information or otherwise refrain from communicating with you, please contact us. However, this may not always be possible given the specific situation, i.e. if you are a Competition entrant.

Note: if you ask the us not to contact you by email at a certain email address, we will retain a copy of that email address in order to comply with your no-contact request.

  1. Other Information Provided to Us by You.

Throughout the Competition, you may be asked to provide additional personal information about yourself to us or to third parties.  For example, you may be asked to provide personal information necessary to fill out FAA waivers, insurance applications, or other documents necessary to participate in the Competition. We will do our best to ensure that you are aware of the information you are being asked to provide and to notify you when your personal information is being shared with third parties. When the personal information is shared with us, we will treat it consistent with this Privacy Notice.

  1. Purposes for Processing Your Personal Data.

As explained above, we process your data to administer the Competition, provide you with the information you have requested from us, and ensure the integrity of the Competition. We use your personal information to better promote STEM and rocketry education and to promote the Base 11 Space Challenge.

Personal Information We Get From Third Parties.

From time to time, we may receive personal information about individuals from third parties. This may happen if your school sends us information to verify your enrollment, matriculation, or disciplinary status which may affect your eligibility to remain in the Competition. We may also receive personal information from third-parties related to internship or employment requests, or other communications about the Competition.

Use of the HeroX Platform and Other Platforms.

We do not maintain the HeroX website platform upon which this Competition is administered, although we do collect the information you submit through it, as explained above.  Additionally, we do not maintain other websites or platforms administered by third parties.  Most websites collect certain information automatically and store it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of the website, including a history of the pages you view. They may also use cookies and web beacons, which may track users when they cross to third party websites.  For information about HeroX or any third-party’s data collection practices, please view their respective privacy policies.

When and How We Share Information with Others.

The personal information the we collect from you is stored in one or more databases hosted by third parties located in the United States. These third parties do not use or have access to your personal information for any purpose other than cloud storage and retrieval. We may disclose personal information that we collect or you provide as described in this privacy notice to our parent company, Base 11, to the contractors, service providers, and other third-parties we use to administer the Competition, and to fulfill the purposes for which we collect it.  We do not otherwise reveal your personal data to third-parties for their independent use unless: (1) you request or authorize it; (2) it’s disclosed in connection with the administration of the Competition; (3) the information is provided to comply with the law (for example, to comply with a search warrant, subpoena or court order), enforce an agreement we have with you, or to protect our rights, property or safety, or the rights, property or safety of our employees or others; (4) the information is provided to our agents, vendors or service providers who perform functions on our behalf; (5) to address emergencies or acts of God; or (6) to address disputes, claims, or to persons demonstrating legal authority to act on your behalf.  We will post some of our personal information through the Base 11 Space Challenge website (maintained by HeroX) and other media outlets. We may also share your personal information with members of the press, the general public, third party entities, or on social media platforms like Facebook, Instragram, and YouTube. When doing so, we take all efforts to ensure your privacy. Additionally, we may share some of your personal information (name, e-mail address, university) with Dassault Systemes in order to provide you access to their design platform.  You should review their privacy policy and terms of use.

Security of Your Information.

To help protect the privacy of data and personally identifiable information you transmit to us, we maintain physical, technical and administrative safeguards. However, you should understand that much of the personal data you provide to us will be posted on public-facing websites, and shared with members of the media and other third-parties. As stated, above, we endeavor not to collect or store sensitive personal information whenever we can avoid it.

Data Storage and Retention.

Your personal data is stored by on our servers, and on the servers of the cloud-based database management services the we engage, located in the United States. We retain data for the duration of your relationship with us and for a period of time thereafter to allow us to analyze the data for our own operations, and for historical and archiving purposes associated with our Competition history for the promotion of STEM and other educational endeavors.  If you have any questions about how long your personal data is stored by us, please contact us.

Access and Correction of Your Information.

You may contact us to request access to, correct or delete any personal information that you have provided to us. We may not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect.

If you delete submissions posted on the Competition website, copies of your them may remain viewable in cached and archived pages, or might have been copied or stored by other Website users.

Changes and updates to the Privacy Notice

As our organization grows and the Competitions progresses, this Privacy Notice may change as well. We reserve the right to amend the Privacy Notice at any time, for any reason, without notice to you (though we strive to give you advance notice), other than the posting of the amended Privacy Notice at this Site. We may e-mail periodic reminders of our notices and updates, but you should check the Competition Site frequently to see the current Privacy Notice that is in effect and any changes that may have been made to it.

Your California Privacy Rights
